When Participants Find Their Own Photos, More Than Convenience Changes
After an event, someone asks the liaison, “Were there any photos of me?”
The most direct response is to look for them.
An occasional request may take only a few minutes. But when speakers, guests and colleagues all want different photos from the same event, the liaison can gradually become a human search interface.
Letting participants find their own photos changes more than convenience. It changes which requests still need to pass through the liaison.
Which handoffs can self-service remove?
A search handled by the liaison might look like this:
Participant asks → Liaison works out what they mean → Liaison opens the folder or gallery → Finds possible images → Sends them back → Participant confirms whether they are right.
With self-service, some of that can become:
Participant opens the entry point → Narrows the collection → Finds possible images → Obtains the files.
If the route works, the liaison no longer has to interpret every individual request or repeatedly forward files.
Self-service does not make the work disappear. It redistributes some of it to the interface and the person using it.
A self-service interface creates work, too
If the entry point is hard to find, the mobile experience is awkward, or the results are confusing, people will still come back to the liaison.
A self-service flow therefore needs to consider:
- How will people learn where to go?
- Can they complete the main task on a phone?
- Is there another route when they cannot find a photo?
- Is it clear how to download or obtain the file?
- If the results are wrong, do they know how to go back?
Good self-service does not simply tell people to find things themselves. It makes them able to do so.
Face search still needs an alternative route
Face search is a useful example.
It can turn “look through every photo” into “start with photos that may be relevant to me.” It should not be described as an infallible identity check.

This does not establish that an event gallery’s face search works poorly, and NIST’s test figures cannot simply be assigned to a commercial product. The practical point is that face search is a tool for narrowing a collection, not the only possible entrance or a definitive verdict.
Where such a feature is used, I would still want alternatives: sessions, programme segments, thumbnail browsing or help from a person. An empty result should not leave someone believing the system has proved that no photos of them exist.
Self-service does not remove the liaison’s responsibilities
Some responsibilities should not disappear when a self-service screen appears.
Which content may be shared, which images require review, and who can obtain particular files still depend on the event’s own working arrangements.
If a collection includes guests whose attendance has not been made public, sensitive content, or images requiring individual approval, controlled manual distribution may be more appropriate.
Self-service is best suited to repeatable searching and retrieval that people can reasonably complete themselves. It is not a way to delegate every judgement to an interface.
How do we know it is helping?
Start without assuming that a gallery must save time.
Look at a few practical questions:
- How many photo requests previously required the liaison’s involvement?
- Can people complete the main flow without instruction?
- Where do they get stuck when they cannot find a photo?
- Does the new entry point actually reduce searches made on other people’s behalf?
Without records, there is no basis for claiming a particular time saving.
Even without an impressive percentage, recognising “who searches for whose photos” as work gives us a better way to judge a gallery’s value.

Self-service retrieval mainly addresses the first task.
Its most useful contribution is not making an event look more technological. It is allowing a straightforward request that once had to pass through a liaison to be completed directly, where that is appropriate.
Self-service does not mean no service. It gives the steps that do not require another person’s judgement back to the person who knows what they are looking for.
